General information on data processing

This Privacy Policy explains how the International Civil Society Centre (in short: “the Centre”) uses your personal data an which rights and options you have in this respect. It applies to Personal Data you provide to the Centre or which is derived from such data and to all pages and online services hosted on icscentre.org, the homepage of the Centre. It does not apply to pages or services hosted by other organisations to which we may link and whose privacy policies may differ. Please note that where this Policy explains applicable law and your rights, this applies only to personal data which is processed under the EU General Data Protection Regulation (“GDPR”). Where the processing of your personal data is not subject to this regulation, different rules may apply und your applicable law.

We do not collect personal data such as name, address, email contact, etc. via our website unless you voluntarily decide to provide us with these dates through a purpose-bound online form – e.g. by signing up to one of our events.

We do not sell or rent web-generated mailing lists or other personally identifiable information. We do not provide mailing lists to outside commercial agencies. Personal data will only be forwarded to partners with prior information and consent of concerned parties.

The use of published contact details by third parties for the purpose of sending unsolicited advertisements is strictly opposed by us. As website provider, we reserve the right to take legal action in case of unsolicited emailing, spam or sending any kind of advertising information.

Who is responsible for your personal data?

We, International Civil Society Centre gGmbH, Agricolastraße 26, 10555 Berlin, Germany will be responsible controller for any personal data you provide to us in connection with our business relationship.

Which categories of Personal Data do we collect?

We may collect and process in particular the following categories of personal data:

  • Private or work contact information, such as full name, address, telephone number, mobile phone number, fax number and email address, mobile device unique identifier and the IP address of your computer if you use our services online;
  • Payment data, such as data necessary for processing payments and fraud prevention, including credit/debit card numbers, security code numbers and other related billing information;
  • Further business information necessarily processed in a business or other contractual relationship with the Centre or voluntarily provided by you, such as purchases, services and other business activities, feedback and any other information you may provide to us;
  • Information about your interests and preferences and other information obtained by website analytics tools, in particular your activities when you use our websites, or products or other services we offer to you online (such as downloadable content). This may include information about which content you download, click or view for how often and how long; (see section below on Google Analytics)
  • Special categories of Personal Data. In connection with the registration for and provision of access to an event or seminar, we may ask for information about your health for the purpose of identifying and being considerate of any disabilities or special dietary requirements you may have. Any use of such information is based on your consent. If you do not provide any such information about disabilities or special dietary requirements, we will not be able to take any respective precautions.
  • Photography. Participants may be photographed during their attendance at events (in-person and online) organised by the International Civil Society Centre. The International Civil Society Centre uses these photographs for promotional material, including the Centre’s website and printed materials. The taking of such event pictures will be announced to participants in advance, giving them the option to revoke being photographed in the first place. The International Civil Society Centre will not provide these photographs to third parties, unless this is necessary for the purposes named above. In case you want to revoke the use of such photographs by the Centre retrospectively, you can send a revocation statement any time to mail@icscentre.org.

For which purposes do we use your personal data?

We will process your personal data strictly only for the following purposes (“Permitted Purposes“):

  • Planning, performing, managing and administering your (or a third party’s to whom you are related) contractual business relationship with the Centre, e.g. by processing payments, performing accounting, auditing, billing and collection activities, providing support services or providing you with other services or things you may have requested;
  • Maintaining and protecting the security of our services and websites or other systems, preventing and detecting security threats, fraud or other criminal or malicious activities;
  • Ensuring compliance with our legal and regulatory obligations. This may include sales record keeping obligations for tax or other purposes and sending required notices or other disclosures, compliance screening or recording obligations.
  • Informing you, where permitted in accordance with local laws, within an existing business relationship about the Centre’s services which are similar or relate to such services which have already been purchased or used within that business relationship; or
  • Solving disputes, enforcing our contractual agreements and to establish, exercise or defend legal claims.

Where you have expressly given us your consent or otherwise legally permitted, we may process your personal data also for the following purposes:

  • Communicating with you through the channels you have approved to keep you up to date on the latest announcements and other information about the Centre’s services (including marketing-related newsletters) as well as events and projects of the Center; Website visitors of the Centre have the chance to enrol for the newsletter of the Centre by indicating their email address, being verified by double opt-in. The newsletter contains updated information on current and planned activities, events, and achievements of the International Civil Society Centre and its core clientele;
  • Administrating and performing customer surveys, marketing campaigns, market analysis, or other promotional activities or events or
  • Automated processing: Collecting information about your preferences on the basis of your activities when you use our websites and any services we offer to you online (such as downloadable content or newsletter). The logic behind these automated activities is to identify areas of interest for our customers and to help to analyse how users use our online services, and thereby enable us to offer improved products.

Where your explicit permission is required for any marketing-related communication, we will only provide you with such information if you have opted in. You may opt out at any time if you do not want to receive any further marketing-related types of communication from us. We will not use your personal data for taking any automated decisions affecting you or creating profiles other than described above.

Newsletter mailing related to the enrolment to an event or programme

As a matter of mutual interest, the Centre contacts former participants of its workshops and/or registered members of a project the Centre conducts via its newsletter to inform them about upcoming programmes in a related contextual framework to keep them updated if the legal basis for such contacting is provided.

If consent for the newsletter mailing is provided a revocation of this consent can be forwarded to the Centre any time by sending an email to mail@icscentre.org or through the “unsubscribe” link in the newsletter itself.

We use Newsletter2Go as a service provider for sending mailings. By signing up for our newsletter(s), you agree that the information you enter will be transmitted to Sendinblue GmbH. Please consult the Data Protection Policy and the Terms and Conditions of Sendinblue GmbH. 

Work group pages

In some meeting formats, participants will automatically be granted access to a Centre online work group page that is hosted via Microsoft Office 365 (and not via icscentre.org). The only personal data of participants used by the Centre to create access is a work email address. Participants have the option to choose the Screen Name under which they want to appear in this work group and also to choose their password. Contributions in this work group are not visible to the public. For access to and data submitted at the external online platform, the privacy regulations of the service provider Microsoft apply. We inform you that the data exchange with Microsoft conducted by the Centre is regulated via the EU standard clause for the transfer of personal data to third countries. (The servers at which your personal data is stored for the above context are located within the EU.)

Legal basis for the procession of personal data

The legal bases for processing of your personal data are set forth in Article 6 of the GDPR. Depending on the above purposes for which we use your personal data, the processing is either necessary for the performance of a contract or other business agreement with the Centre or for compliance with our legal obligations or for purposes of legitimate interests pursued by us or a third party, always provided that such interests are not overridden by your interests or fundamental rights and freedoms. In addition, the processing may be based on your consent where you have expressly given that to us.

We will not use your personal data for taking any automated decisions affecting you or creating profiles.

How do we collect and use personal data?

We will typically collect your personal data directly from you when you interact with us, e.g. when you visit our website, communicate with us in relation to our services, request a service, register to receive our newsletter or other specific marketing material or participate in our customer surveys.  We do not obtain personal data from third parties on a commercial basis.

Where do we process your personal data?

In the course of our business activities, we may transfer your personal data also to recipients in countries outside of the European Economic Area (“third countries”), in which applicable laws do not offer the same level of data protection as the laws of your home country. When doing so we will comply with applicable data protection requirements and take appropriate safeguards to ensure the security and integrity of your personal data, in particular by entering into the EU Standard Contractual Clauses. Job application

In regular intervals, the Centre will post job advertisements via Personio. Personio practices are based on the legal framework of the European General Data Protection Regulation (EU GDPR) as well as common standards and guidelines such as ISO/IEC 27001 and the principles of basic IT protection (“IT-Grundschutz”) of the German Federal Office for Information Security (BSI). Their privacy policy is available here.  

The data received via Personio will be used for recruitment purposes only and anonymised after three months. 

Automatic detection of personal data through the interaction with our website

Each time our website is accessed, our system automatically collects data and information from the computer system of the connecting computer. The following data is automatically collected:
(1) Information about the browser type and version used

(2) The operating system of the user

(3) The Internet service provider of the user

(4) The IP address of the user

(5) Date and time of access

(6) Websites from which the system of the user comes to our website

(7) Websites accessed by the user’s system through our website

The temporary storage of such data, in particular the IP address of the user, is necessary to allow delivery of the website to the computer of the user. To do this, the user’s IP address must be kept for the duration of the session.

These cookies are used to deliver adverts more relevant to you and your interests. They are also used to limit the number of times you see an advertisement as well as help measure the effectiveness of the advertising campaigns. They are usually placed by advertising networks with the website operator’s permission. The only third-party involvement in the site is via Google Maps and YouTube. These two third party applications save your preferences and track your activity for targeting and advertising purposes. Consent for using cookies on International Civil Society Centre

When accessing the International Civil Society Centre website, the user is informed about the use of cookies for analysis purposes and his consent to the processing of the personal data used in this context is obtained. In this context, there is also a reference to this privacy policy.

Cookies are stored on the computer of the user and transmitted to us from there. Therefore, as a user, you have full control over the use of cookies. By changing the settings in your internet browser, you can disable or restrict the transmission of cookies. Already saved cookies can be deleted at any time. This can also be done automatically. If cookies are disabled for our website, it may not be possible to fully use all the functions of the website.

Use of Google Analytics

We use Google Analytics, a web analytics service provided by Google, Inc. Google Analytics uses cookies, which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. However, on this website Google Analytics is supplemented by the code “_ anonymizeIp” which is provided by Google in order to ensure that IP addresses are captured in anonymised form. Before transfer, the last two digits of the IP address are shortened to make it impossible to identify the user. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. When you display a page that has an embedded video, a connection will be made to the YouTube server and the content will appear on the website via a communication to your browser. Our privacy settings on icscentre.org allow for more user-control in this regard: the standard setting for Youtube is set on disabled. To make use of this functionality, and thereby agreeing to the forwarding of their personal data to Youtube, users will have to manually activate this function.

Use of GoogleMaps

This site uses the Google Maps map service via an API. It is operated by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.

The use of Google Maps is in the interest of making our website appealing and to facilitate the location of places specified by us on the website. This constitutes a justified interest pursuant to Art. 6 (1) (f) DSGVO.

Deletion of personal data

We will hold your personal data as long as required to provide you with the services or information you have requested and to execute and administer your business relationship with us. If you have asked us not to communicate with you, we will hold this information as long as required to comply with your request. We are also required to keep certain of your personal data (e.g. relating to business or tax relevant transactions) for certain retention periods under applicable law. Your personal data will be promptly deleted when it is no longer required for these purposes.

If you would like your record to be deleted earlier by the Centre, please notify us accordingly by contacting mail@icscentre.org.

With whom do we share your personal data?

We may share your personal data as follows:

  • We may instruct service providers (so called data processors) within or outside of the Centre, domestically or abroad, e.g. shared service centers or cloud providers, to process personal data for the Permitted Purposes on our behalf and in accordance with our instructions only. The Centre will retain control over and will remain fully responsible for your personal data and will use appropriate safeguards as required by applicable law to ensure the integrity and security of your personal data when engaging such service providers.
  • With courts, regulators, law enforcement or other competent authorities or attorneys if legally permitted and necessary to comply with a legal obligation or for the establishment, exercise or defense of legal claims.
  • With credit reference agencies and other companies for use in credit decisions, for fraud prevention and to collect debts.

Otherwise, we will only disclose your personal data when you direct or give us permission, when we are required by applicable law or regulations or judicial or official request to do so, or when we suspect fraudulent or criminal activities.

If you would like your data to be shared with other participants of a workshop, you will need to explicitly consent hereto. Such consent can be withdrawn at any time by contacting the Centre through mail@icscentre.org.

Your data protection rights

Subject to certain legal conditions, you may request access to, rectification, erasure or restriction of processing of your personal data. You may also object to processing or request data portability. In particular you have the right to request a copy of the personal data that we hold about you. If you make this request repeatedly, we may make an adequate charge for this. Please refer to Articles 15-22 of the EU General Data Protection Regulation for details on your data protection rights.

If you have given us your consent for the processing of your personal data, you may withdraw your consent at any time with future effect, i.e. the withdrawal of the consent does not affect the lawfulness of processing based on the consent before its withdrawal. If you withdraw your consent, we will only continue processing your personal information where there is another legal ground or where we are legally required to do so.

For any of the above requests, please send a description of your personal data concerned stating your name and a proof of identity to mail@icscentre.org. We may require additional proof of identity to protect your personal data against unauthorised access. We will carefully consider your request and may discuss with you how it can best be fulfilled.

If you have any concerns about how your personal data is handled by us or wish to raise a complaint on how we have handled your personal data, you can contact us at the contact details below to have the matter investigated. If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can complain to the competent data protection supervisory authority in your country. For example, if you are from Germany, you may contact the Bundesdatenschutzbeauftragte Office via their website (www.bfdi.de).

Data Security

We maintain physical, electronic and procedural safeguards in accordance with the technical state of the art and legal data protection requirements to protect your personal data from unauthorized access or intrusion. These safeguards include implementing specific technologies and procedures designed to protect your privacy, such as secure servers, firewalls and SSL encryption. We will at all times strictly comply with applicable laws and regulations regarding the confidentiality and security of personal data.

We would like to express that in general there are inherent security risks when transmitting data via the internet, such as emails or signing up to websites by using personally identifiable information. This implies security vulnerabilities as it is impossible to safeguard entirely against unauthorised access by third parties.

We also do everything in our power to protect user-information offline. All of your information is restricted. Only employees who need the information to perform a specific job are granted access to personally identifiable information.

We take data security very seriously. We go through audits on a regulary basis (e.g. a SAFETAG audit, conducted by AccessNow in 2018). Detected security flaws in the physical and virtual infrastructure will be addressed promptly.

Are you required to provide personal data?

As a general principle, you will provide us with your personal data entirely voluntary; there are generally no detrimental effects on you if you choose not to consent or to provide personal data. However, there are circumstances in which the Centre cannot take action without certain of your personal data, for example because this personal data is required to process your orders, provide you with access to a web offering or newsletter or to carry out a legally required compliance screening. In these cases, it will unfortunately not be possible for the Centre to provide you with what you request without the relevant personal data.

What if I’m under 16?

If you are under 16, please make sure that you obtain your parent/guardian’s permission prior to providing us with any of your personal data. Persons under the age of 16 are not permitted to provide us with their personal data without such consent.

Changes to this Notice

This Data Privacy Notice was last updated in [July 2021]. From time to time, we may make change or amend it as required to reflect any changes to the way in which we use your personal data or changing legal requirements. So you may wish to check back from time to time or whenever you make available personal data to us. Any amended Data Privacy Policy will apply from the date it is posted on our website.


Complaints Handling Mechanism

What is our Complaints Handling Mechanism for external whistleblowers?

The Centre offers the opportunity for complaints from any individuals or organisations to raise concerns about the Centre or its Owners. Misconduct may include but is not limited to

  • Criminal offences, including fraud, corruption and financial misconduct;
  • Breaches of legal obligations (including negligence, breach of contract, breach of administrative law);
  • Miscarriages of justice;
  • Breaches of health and safety;
  • Damage to the environment;
  • Any forms of discrimination or harassment based on gender, race, social background, ethnicity or age
  • The concealment of any of the above

The review of Complaints under the Complaints Handling Process is not a process involving the law of any jurisdiction. The Complainant, and the entity against which the complaint is made, are not entitled to legal representation in the Complaint Handling Process.

As most Owners of the Centre offer their own complaints handling procedures, the Centre will only deal with complaints about members of staff of its owners or the organisation at large that have not been resolved through other appropriate channels.

Complaints about members of staff of the Centre will all be handled through the procedure described below.

How do I make a complaint?

All complaints will be taken seriously, and the following procedure will be used:

  • Any complaints may be sent to complaints@icscentre.org. Incoming complaints are monitored by the HR and Operations Officer.
  • If the complaint is about the Centre, the following applies
  • The complaints should include:
    1. The name and address of the complainant
    2. A precise description of the concerns raised, fully supported by evidence
    3. Evidence of the outcome of other complaints handling procedures
  • The Centre will not deal with any complaints
    1. That are anonymous unless very strong reasons for anonymity are presented in the complaint.
    2. That have not yet fully exhausted other complaints channels such as the complaints process offered by the organization that is alleged of misconduct
    3. That relate to alleged breaches of national laws, such as laws relating to the employment of staff, tax law, or the provisions of legislation relating to charities in any jurisdiction which the Centre considers in its discretion ought to have been dealt with through alternative mechanisms (for example criminal investigations by local police forces). The complainant will be advised to consider taking the matter to a more appropriate national or international body.
    4. That are manifestly ill-founded.
    5. That have already been reviewed and closed in previous complaints handling procedures by the Centre.
  • The HR and Operations Officer will review the complaint and inform the Executive Director who shall take a decision whether an investigation will be conducted into the matter. At his discretion, he may discuss the matter with the Chair of the Board before the final decision.
  • If the concern refers to an owner organisation, the following steps apply:
  • The Executive Director shall assign a person to investigate the complaint.
  • The organisation concerned will be informed of the complaint and the investigation.
  • Both the complainant and the organisation may be asked to provide additional information.
  • The Centre will inform both the organisation and the complainant whether
    1. The concern has been dismissed to be processed after further investigation, based on the criteria laid out above.
    2. The concern raised does not include any misconduct.
    3. The Centre suggests any action to be taken to resolve the concern.
  • All steps will be recorded in writing.

The Board will be informed of any complaints and the outcomes.

Event terms and conditions

These Terms set out the terms on which the Participant may participate at a virtual event organised by the International Civil Society Centre.

Please read these Terms carefully as they contain important information.

Definitions

In these Terms, unless the context otherwise requires, the following words and expressions shall have the following meanings:

Event Registration” means an application for You to participate at an Event made by You to The International Civil Society Centre in accordance with clause 2.2; and confirmed by The International Civil Society Centre by providing you with a Confirmation (as defined in clause 2.3);

Content” means any or all information and material requested by the International Civil Society Centre and/or submitted to The International Civil Society Centre by You for use in connection with the Event, including Your logo and other materials and information required by The International Civil Society Centre for exhibition during and for promoting and marketing the Event;

Workshop” means a virtual event, such as an award’s ceremony, exhibition, conference or other virtual event to be held by the International Civil Society Centre via the Platform on the Website in respect of which You are submitting a Event registration;

Fee” means the total sum payable by You to The International Civil Society Centre as specified in the Booking;

Participant”, “You“, “Your(s)” means the person, firm or company named in the Event registration as the company wishing to participate in the Virtual Event;

Platform” means the operating system environment on which the Event is held on the Website;

Terms” means these terms and conditions;

  • headings are included for convenience only;
  • references to clauses shall be to clauses of these Terms;
  • whenever in this Agreement words are used in the masculine or neuter gender, they shall be read and construed as in the masculine, feminine or neuter gender, whenever they should so apply.
  • references to persons include individuals, unincorporated bodies, government entities, companies and corporations.

Basis of Contract

By submitting an event registration, You agree to be bound by these Terms and Conditions.

Your event registration shall be made through the International Civil Society Centre’s event registration portal. You cannot register for an event informally.

Your event registration is a request to participate in an Event organised by the International Civil Society Centre. A binding contract between You and the International Civil Society Centre will only be formed when your request has been reviews and approved and written confirmation of acceptance is sent by the International Civil Society Centre to You (whether or not it is received) using the email address provided at the point of registration. The You should contact the International Civil Society Centre if You have not received confirmation within five (5) days of Your event registration. The International Civil Society Centre reserves the right in its sole discretion to refuse to accept Your event registration request. Your registration request and the Confirmation shall together (also referred to as the Booking) constitute a binding contract between You and the International Civil society Centre which shall be subject to these Terms and to any rules and regulations issued from time to time by the International Civil Society Centre in relation to the specific Event you submit a registration request.

The person submitting the Event registration on Your behalf shall be deemed to have full authority to do so and You shall have no right to claim against the International Civil Society Centre that such person or persons did not have such authority.

You are jointly and severally liable under these Terms with any agent appointed to make the Booking on Your behalf.

Event Production

The International Civil Society Centre is responsible for the development and setup of the Event, the website/ platform and content.

You are responsible for the setup of Your own virtual exhibition stand (if applicable) and for any technical requirements to enable You to connect and participate in the Event via the Platform.

You agree that:

a) You will not infringe any copyright, patent, trade mark, trade secret, or other proprietary right, false advertising, unfair competition, defamation, obscenity, piracy, invasion of privacy or rights of celebrity, any discrimination law, securities law or regulation, or of any other right of any person or entity;

b) You will not undertake to create or introduce into the Event, the Website, the Platform or any part thereof any known spyware, virus, Trojan horse, logic bomb or other destructive or malicious software;and

c) You will at all times comply with the provisions of all relevant data protection laws, legislation and regulations.

d) The International Civil Society Centre is not responsible for any occurrence preventing participation in the event that is outside the reasonable control of the International Civil Society Centre; this includes network failure or incompatibility; or maintenance periods, whether scheduled or unscheduled.

e) The International Civil Society Centre reserves the right to add, alter or remove workshop content without prior notice, provided the content still meets the description of that workshop.

Participation in the Event

The details of the Event shown in any material, promotional or logistical supplied by the International Civil Society Centre to You are correct at the time of dissemination but You shall be responsible for checking with the International Civil Society Centre that no alterations have been made.

The International Civil Society Centre reserves the right (in its absolute discretion) to terminate Your access to the event without explanation.

Participation fees

The participation fees include coffee breaks, lunches, dinners and documentation (meals not included for virtual events). Travel and accommodation are not included. The full amount stated on the invoice must be received prior to the first day of the workshop. It is the responsibility of the participant to pay any transfer fees from both the sender’s bank and receiver’s bank associated with the transaction and ensure that the International Civil Society Centre receives the full participation fee as stated on the event invoice. Participants are responsible for ensuring international money transfer fees are added to the final payment.

PayPal payments: If a participant is making a payment through PayPal, remember to add the transfer fees. Use the PayPal Fee Calculator to determine the correct fee. If using PayPal, the participant is responsible for changing from “Domestic” to “Cross-border” if sending money from a different region/continent.

Example: When transferring from USA to the Centre’s German PayPal account, against the row “Fee Rate” under Cross-border, select 4.29% + €0.35 (+2.0% from Europe I and North America).

Payment

The Fee shall be payable by You to The International Civil Society Centre in full and in cleared funds into The International Civil Society Centre’s nominated bank account within thirty (30) days of the date of The International Civil Society Centre’s invoice and in any event, no later than 48 hours before the Event.

The Fee is stated exclusive of any banking fees associated with making the transaction.

If payment of the Fee in full is not received before the Event, the International Civil Society Centre may (at its sole discretion) either require such payment as a condition of Your entry to the Event or refuse You entry to the Event. No refunds of any proportion of the Fee paid (if any) will be made and any balance of the Fee will remain due and payable where entry to an Event is refused under this clause.

Cancellation

Any cancellation must be made in writing by mail, e-mail or fax. The date on which the letter is received by the International Civil Society Centre will determine the applicable cancellation charges. These charges are expressed as a percentage of the total participation fee, and are as follows:

  • 31 days or more before the first day of the workshop: no cancellation charge,
  • 16 – 30 days before the first day of the workshop: 50% of total workshop fee,
  • 15 days or less before the first day of the workshop: 100% of total workshop fee.

When a workshop is under-subscribed, the International Civil Society Centre reserves the right to change or cancel such a workshop. Participants will be informed as soon as possible. In case of a cancellation participants will be offered an alternative workshop place or a 100% refund.

In the event that a workshop is cancelled due to unforeseen circumstances out of our reasonable control (e.g. illness, natural disaster, adverse weather conditions), participants will be informed as soon as possible and offered an alternative workshop place or a 50% refund of participation fees.

Termination

The International Civil Society Centre reserves the right to terminate any registration request without explanation.

Termination shall be treated as a cancellation by You and You will be required to pay the cancellation sums specified with the timeframes requested.

Indemnity

You shall defend, indemnify and hold the International Civil Society Centre harmless from and against all costs, claims, demands, proceedings, liability, losses and expenses (including reasonable legal fees) whatsoever made against or incurred by the International Civil Society Centre as a result of, related to or arising in connection with (i) a breach of these Terms by You, and/or (ii) any acts or defaults of You, your employees or agents in connection with the Event and/or (iii) any claim brought against the International Civil Society Centre that the Content or any services or software supplied by You infringe, violate, or trespass or constitute the unauthorized use or misappropriation of any intellectual property of any third party.

Disclaimer, Exclusion of Liability

The Platform is delivered over the Internet, and accordingly, is subject to limitations, delays, and other problems inherent in the use of the internet and electronic communications. The International Civil Society Centre shall not be responsible for any delays, delivery failures, viruses, hacker intrusions or other damage resulting from such problems.

The International Civil Society Centre makes no representation, warranty, or guarantee as to the reliability, timeliness, quality, suitability, truth, availability, accuracy or completeness of the Platform. The International Civil Society Centre does not represent or warrant that:

(a) the use of the Platform will be uninterrupted or error free;

(b) the Platform or the servers that make the services available are free of viruses or other harmful components.

Use of Event Espresso

We use Event Espresso, event registration and ticketing management plugin for WordPress. They do not use your personal information with anyone except to comply with the law, develop their products or protect their rights. They do not store personal information on their servers unless necessary for the ongoing operation of one of their products/services.

Use of Whova Inc

We use Whova Inc, an event management system for our Global Perspectives conference.

Personal Data Whova Collects

  • Whova Services collects information about your usages. This may include information about any IP address used to access Whova Services and your activities on Whova Services.
  • Whova collects information that you provide in creating an account at Whova Services. This may include information such as your name, email address, social network sign- in. They do not provide your information to any third party (subject to Section 5 below).
  • Whova allows you to retain and access Your search history and bookmark profiles on selected Whova Services. You may delete one or all at any time when Whova Services are available. Whova does not share your history and bookmarks with any third party (subject to Section 5 below).
  • Certain functionalities of Whova Services require you to enter Personal Data to access your accounts with third-party websites, such as third-party social networks and websites. Your third-party login credentials will be stored for your convenience of continuously accessing the third-party information upon your requests. They do not use this information for any other purpose. Your third-party login credentials are hashed and stored with the strictest security standards.

Use and Sharing of Personal Data

  • Whova may use Personal Data you provide to Whova Services to create and maintain your account, to personalise your experience, and to send email communications relating to Whova Services. Whova does not sell, exchange, transfer, or give this type of Personal Data to any other company without your consent.
  • Whova may use Personal Data about your use of Whova Services to improve their services. Whova may also use personal data with third parties services and technologies as described below:
  • Monitoring services, such as Google Analytics, to assist Whova in improving its quality of service.
  • Cloud hosting providers, such as AWS, to ensure service availability and permanent storage

Community Event Guidelines and Values 

In the spirit of connecting people and ensuring that all discussions take place in a healthy and constructive manner, it is important to lead by example and promote the highest standards and apply the Centre’s core values at our online and in-person events.  

Respect 

We value participants at events and recognise that everybody with a confirmed registration has the right be at and to enjoy the event regardless of background, gender and gender expression, sexual orientation, age, native language, socioeconomic status, national origin, geographical location or any other dimension of diversity.  

All participants at events organised by the International Civil Society Centre are expected to uphold a high standard of behaviour. We have a zero tolerance policy for any aggressive, discriminating, disrespectful or otherwise inappropriate behaviour.

Certain Centre events encourage participants to share sensitive information and we endeavour to provide a trusted environment to promote open and honest exchange without participants having to worry about being quoted publicly. When this is the case, we will announce that the event will be taking place under the Chatham House Rule in advance of and at the beginning of the meeting. 

The Rule reads as follows:
When a meeting, or part thereof, is held under the Chatham House Rule, participants are free to use the information received, but neither the identity nor the affiliation of the speaker(s), nor that of any other participant, may be revealed (ref: Chatham House).
